4. Pay Policies & Continued Employment

Import Warehouse Inc.believes that the work conditions, wages and benefits it offers to its employees are competitive with those offered by other employers in this area and in this industry.   We give equal pay for equal work. 

Hours of Work

For several years Import Warehouse Inc.hours of operation have been Monday through Saturday 9:00 am to 6:30 pm.  Because of increased demands upon our business we have some persons reporting to work at 7:00 am and others finishing at 8:00 pm.  For eligible full-time, non-exempt employees the regular work week will consist of at least 8 shifts per week and 5 hours per shift excluding the non-paid lunch period.  Work shifts, days, hours, and periods can be established and modified by Import Warehouse Inc.management within the limits prescribed by law, based on operation conditions and requirements of the work place.


Your pay is determined by means of the hours recorded in pay punch computer system. Punctuality and accurate reporting of time worked is therefore essential and a permanent record of this will be maintained.

Lunch Breaks

You must take a lunch break within 5 hours of arriving for work.  Unless otherwise requested this break shall be no less than 30 minutes and no more than 45 minutes.  You must either inform a manager of your requested break time or follow the break time preset as on your schedule.  If you are gone longer than 45 minutes without prior permission you will be subject to disciplinary action up to and including discharge.

Saturday Shifts

Since Import Warehouse Inc.is primarily a wholesale business, Saturday is our biggest and most important day of business.  Therefore each employee may be expected to work this day.  All scheduled personnel must report to work no later than 9:00 am in order to prepare the store for business. If you are unable to be at work by the above hours and are scheduled to work you must call in prior to your start of shift.


Time and a half is paid for all time worked in excess of 40 hours in a week.Every attempt will be made to assign overtime equitably. Overtime hours are often available but under no circumstances are they required or guaranteed. Holidays are, however, computed on 8 hours at the normal rate of pay.


The Import Warehouse Inc.pay period begins on Sunday at 0:01 a.m. and ends Saturday at midnight.  You will be paid each week by direct deposit or debit card on Wednesday.  

All employees are paid weekly on Wednesday.  Each pay check will include earnings for all work performed through the end of the previous pay period.

We are required by law to make deductions for income taxes and Social Security taxes.  You may authorize additional deductions if you wish to participate in any of the benefit plans offered.  You will find a detailed record on your paycheck of any deductions.

Any time you feel an error has been made in your pay, discuss it with one of the managers who will make arrangements for any necessary corrections.


All full time regular employees will be eligible for 40 hours of paid vacation on their first anniversary of employment. Vacation days must be taken in 40 hour periods. In order to qualify for vacation time  an employee must work an average of 40 hours per week for 8 consecutive weeks to be eligible for paid vacation.  All other employees are eligible for unpaid leave.  The manager must be notified, in writing, at least one week prior to your scheduled vacation. These vacation request forms are available in the office.  A sign-up calendar will be available in the office on a first come, first serve basis.  It is our policy that no more than 2 shall be off at the same time unless specific permission is given in writing. 


The days to be observed as holidays at Import Warehouse Inc.are:

New Year's Day January 1st 
Memorial Day Last Monday in May
Independence Day July 4th 
Labor Day 1st Monday of September
Thanksgiving Day 4th Thursday of November
Christmas Day December 25th

To be eligible for holiday pay, an employee must:

1.  Be a full-time regular employee.
2.  Be continuously employed full time for 180 days prior to the holiday.
3.  Work the last scheduled day immediately preceding the holiday and the first scheduled day immediately following the holiday.

Eligible holidays can not be accrued or saved but must be paid in the week in which it occurred and shall be computed on 8 hours at the employees normal rate of pay.  If a recognized holiday falls during an employee's paid vacation the employee will not be eligible for holiday pay.  

Absences or Tardiness

Punctuality and regular attendance are very important to proper company operations.  Quite simply, we need every person employed at Import Warehouse Inc.to work their scheduled hours.  We accept the fact that at times absences or tardiness are unavoidable due to personal or family illness, accident, emergencies or business. 

When tardiness is necessary each employee must notify a manager (not a fellow employee) by no later than 8:30 a.m. of the day in which he/she is scheduled to work.  Failure to do so will be grounds for disciplinary action up to and including discharge.

In the event an employee is unable to work as scheduled, they must notify a manager of each absence day unless it has been previously approved by Management or you are on an approved leave of absence,  absence without reporting will result in termination, except in emergency or extenuating circumstances.  

Following an absence due to illness, the general manager may request a statement from your doctor showing you are fit to return to work.  This is for your protection as well as that of your fellow employees and our customers.

If at any time an employee is found lying about a reason for being absent they will be found in violation of the company's trust and will be subject to disciplinary action up to and including discharge.

Leave of Absence

A leave of absence for an extended period may be requested by any employee who has been with Import Warehouse Inc.for more than one year.  This request must be in writing to the general manager and the employee can have one week for each year of service.  Remember a leave of absence is for a definite period of time and for a definite stated purpose, and is without pay.  If you fail to report at the expiration of the time allowed you will be considered to have terminated your employment.


It is Import Warehouse's practice to hire the best qualified candidate for each position.  Employees will be considered for all transfers and promotions but other qualifications may predispose going outside the organization to fill the opening.  In making such decisions Import Warehouse Inc.will objectively judge the skill, ability and efficiency of each applicant involved.  All promotion decisions will comply with the principle of equal employment opportunities. 

Lay Off and Recall

Import Warehouse Inc.realizes the importance of job security and will do everything possible to maintain stable employment.  We are not totally immune to the effects of the local economy therefore if business conditions require a substantial reduction in manpower, we will eliminate overtime and will reduce hours in order to retain as many employees as possible.  


Import Warehouse Inc.strives to provide all employees with fair and reasonable conditions of employment at all times.  We as a company adhere to the principles of at-will employment whereby the company and employees alike can terminate the employment relationship at any time and for any reason.  In exercising such a policy, Import Warehouse Inc.will attempt to inform an affected employee confidentially of the circumstances surrounding a discharge.  Your final pay check will be mailed to you on the regularly scheduled pay day.

Employees, who resign, retire or are discharged or laid off will be required to turn in all Import Warehouse Inc.property to the general manager not later than their final workday.  Import Warehouse Inc.may withhold from the employees' check or final paycheck the cost of any items that are not returned when required as follows:  locker key $5.00;  marker $1.00; case cutter $1.00; pricing gun $75.00; back brace $40.00; Vest $50.00.

Retirement Plan

In 2013 Import Warehouse Inc.established a simplified employee pension (S.E.P.) plan. Under a S.E.P. an employer makes contributions to an employee directed account not to exceed under law 15% of an employee's compensation.  As of December 31, 2013, the time requirement for eligibility was continual full or part-time employment of three consecutive years as of December 31st in the plan year.  Employees must understand that funding of this benefit is optional by Import Warehouse Inc.and shall be based on the financial condition of the company each plan year.  

Hospitalization Insurance
We are working towards it.


As a means of special recognition for the contribution of employees toward the success of Import Warehouse, bonuses may be granted to some employees.  The amount of these bonuses may vary between employees depending on such considerations as the employees' length of service, performance record, special merit or uniqueness of the employee’s contribution, and Import Warehouse's overall financial condition.

As a discretionary benefit, employees should understand that any bonus is necessarily a situation to situation option of Import Warehouse Inc.and the amount paid in a particular year should not be construed as dissatisfaction with an individual employee's performance.


Import Warehouse Inc.is committed to programs that promote safety in the workplace, employee health and well-being and customer confidence.  Import Warehouse Inc.has developed a drug testing policy for detecting and measuring the impact which drugs have in our work environment.  Our goal and the purpose of this program is to establish and maintain a safe workplace and a healthy and efficient workforce free from the effects of drug and alcohol abuse.

For purposes of this policy, the term "drugs" includes alcohol and other substances, legal or illegal, that are:  1) used as medication; 2) that may cause addiction or 3) that may affect coordination or memory.

1.  The use or unauthorized sale, purchase or possession of any alcoholic beverage or being under the influence thereof, on Company premises is prohibited and will subject the employee to immediate discharge.

2.  The use, sale, purchase or possession of any illegal drug or being under the influence thereof, on Company premises is prohibited and will subject the employee to immediate discharge.

3.  The use of legal or illegal drugs, prescription drugs, alcohol or any other substance away from Company premises which is determined by the Company to adversely affect the work place or impair its ability to maintain a safe and drug-free work environment, will subject the employee to disciplinary action up to and including discharge.  An employee who commits an unlawful act on or off company premises or whose conduct discredits the Company in any way will be subject to discipline, including discharge.

4.  The Company retains the right to test all employees for drugs, alcohol or controlled substances in response to any reasonable suspicion, e.g., actions, appearance or conduct indicative of the use thereof.  Failure to be tested will be treated as a failure to cooperate and the employee will be subject to discharge.

5.  Where a violation of Company policy is suspected, an employee, his/her locker, vehicle and belongings may be subject to search. A request for a search is not an accusation.  However, failure to allow a search will be treated as a failure to cooperate and will be grounds for discharge.  

6.  Any employee who believes that he/she has developed an addiction to or dependency on drugs or alcohol is encouraged to seek assistance and will be entitled to care and treatment in accordance with the terms and provisions of the Company's group medical insurance plan if applicable.

7.  Screening for drugs may be carried out under the following:

1.  Pre-employment
2.  Upon suspicion of use or possession based on:
      a. impairment
      b. discovery of drugs on premises
      c. report from a third party
3.  After an on the job accident involving injury or company property
4.  Randomly


Sexual harassment of any Import Warehouse Inc.employee is strictly prohibited!!  It is the Company's policy that all employees are responsible for assuring that the work place is free from sexual harassment.

It is illegal and against Import Warehouse Inc.policy for any employee to sexually harass another by:

1.  Making unwelcome sexual advances or requests for sexual favors or other verbal or physical conduct of sexual nature as a condition of continued employment.

2.  Making submission or rejections of such conduct the basis for employment decisions affecting the employee or creating an intimidating or offensive working environment by such conduct.

Management at all levels is responsible for reporting and taking corrective action to prevent harassment in the work place.

Any employee who has a complaint of sexual harassment by anyone involving the work place, including management, employees or visitors, should report the alleged act immediately without fear of reprisal to a responsible company official.

An investigation of all the complaints will be undertaken immediately giving due regard to the need for confidentiality.  Both parties will have the opportunity to give a full accounting of their recollection of the incident(s).

Any employee who has been found by Import Warehouse Inc.after an appropriate investigation to have sexually harassed any other employee or visitor will be subject to disciplinary action up to and including termination.

Employee Purchases

The Management is well aware of the bargains available at Import Warehouse Inc.and understands that it’s employees like to take advantage of these sales as they become available.  

When an employee wants to buy non-perishable items, they are to place the items on the pallet in the back room clearly marked with their name. (Markings should be placed as not to damage the item) These items should be purchased that day.  The employee will restock any “change of mind” items.  Items found not identified in above manner shall be restocked.  

Furthermore any employee shopping or purchasing items while on the clock or on company time is against company policy and grounds for suspension and/or termination.

Employee Pay Advances

In the past, Import Warehouse Inc.has made emergency payroll advances to employees based on a level of need.  As long as that policy is not abused, Import Warehouse Inc.will attempt to do this.  The amount to be advanced shall not exceed the amount due on the next week’s paycheck. The full amount shall be deducted from the next week’s paycheck.  The number of payroll advances shall not exceed 4 per year per employee.

Employee to Employee Loans

Borrowing money from other employees is discouraged.  Any employee charging surcharge or interest, or a special favor, on a loan to another employee is against company policy and is grounds for termination.
